ANNUAL LEAVE

To recognize your length of service and your loyalty to HAC you are entitled to paid annual leave based upon your length of service after you have completed your introductory period.  Annual leave is earned by all full-time regular employees, after completion of the introductory period, starting the first day of the following month according to the following schedule:

Administrative Employees and Maintenance Foreman              10 hours per month

Maintenance Employees                                                       8 hours per month

Annual leave for Part-Time With Benefits employees is earned after completion of the introductory period and is 50% of the amount for full-time employees; starting the first day of the following month according to the above schedule.

You must apply for annual leave in the first quarter of the calendar year by written request.  Only 1 week of annual leave may be carried over per year.  After 1 year of employment, no more than 20 working days (160 hours) may be accumulated.  You will have until December 31 of each year to use excess annual leave, or forfeit the leave without pay.

Full-time employees who have completed 5 consecutive years of service will receive an additional 8 hours of annual leave each year, beginning immediately upon their fifth anniversary.  An additional 8 hours of annual leave will be earned for each additional 5 years of consecutive service.  Part time With Benefits employees also receive this benefit on a pro-rated basis of 4 hours of annual leave.

You may transfer any number of hours of your unused annual leave time to another employee of HAC. This leave will be paid at the lower rate of the two employees.

  

HOLIDAYS

All full-time employees are entitled to the following paid Holidays:

  • New Years Day                                                       

  • Martin Luther King Day                                            

  • President’s Day                                                     

  • Good Friday (1/2 day)                                              

  • Memorial Day                                                         

  • Independence Day                                                    

  • Labor Day

  • Columbus Day

  • Thanksgiving Day

  • Friday After Thanksgiving

  • Christmas Eve Day

  • Christmas Day

  • Employee’s Birthday

In order to receive holiday pay, employees must work the scheduled day before and scheduled day after the holiday, or be on approved annual leave.  Holiday pay will be paid at the employee’s regular wage rate.  Part-Time With Benefits employees are paid at 50% of the full time regular employment benefits.  The Employee’s birthday is a floating holiday that must be taken in the same workweek, unless the supervisor approves delaying the holiday.

If a holiday falls on a weekend it will be celebrated on a workday.  (i.e.:  Saturday, celebrate on Friday; Sunday, celebrate Monday.)

  

RETIREMENT PENSION PLAN (CERS)

In the interest of providing our employees with income during retirement, HAC participates in CERS (County Employees Retirement System).  All employees (full-time or part-time) hired after May 1, 1998 who work an average of 100 hours per month over a calendar or fiscal year must participate in the program.  You must contribute an amount equal to 5% of gross pay and HAC will contribute an amount required by the State of Kentucky.

  

LEAVE OF ABSENCE 

Occasions may arise when you find it necessary to request an unpaid leave of absence.  In order to encourage those who have need for a leave of absence to continue their career with HAC, every request will be judged on its own merit.  All requests for personal leave must be made in writing, and approved by the Executive Director, and all earned vacation time must have been exhausted.  Normally, a leave may not exceed three months.  During a leave of absence without pay, no vacation or sick time will accrue, and no payment will be made to the pension plan.  The employee is responsible for full payment of his or her medical insurance during this leave.  Failure to maintain coverage may result in a delay in re-instatement upon returning to work.  Failure to report to work at the expiration of leave shall be considered a voluntary resignation.

  

JURY DUTY

Full‑time employees who are called to serve on jury duty will receive the difference between their normal straight time pay (8 hours per day), and the pay received from the jury service performed on regularly scheduled work days.  You must present a copy of the summons to your supervisor as soon as it is received, and you will be required to submit documentation of pay received upon completion of jury duty.

  

BEREAVEMENT LEAVE

Should a death occur in your immediate family, you will be granted the necessary time off from work to make funeral arrangements and/or attend the funeral.  You will be compensated for the time actually lost from regularly scheduled work on the day of the death and the days following it, up to and including the day of the funeral, to a maximum of three (3) working days for immediate family members.  Immediate family includes your spouse, mother, father, children, brother, sister, son-in-law and daughter-in-law.  Your supervisor may approve annual leave if you need additional time off.

You will be compensated for 1 working day, to permit attendance at the funeral of your grandparent, stepchild, current mother-in-law, current father-in-law or grandchild.  Annual leave time may be used for up to 2 additional days with supervisor’s approval.

  

SICK LEAVE

Once you have completed your introductory period, you will accrue paid sick days.  Paid sick days are earned by full-time administrative employees and maintenance foreman at the rate of 10 hours per month, and maintenance employees, at 8 hours per month.  Part-Time With Benefits employees accrue sick leave at 50% of the full-time employee.  Sick days may be accumulated up to 720 hours for administrative employees and maintenance foremen.  Maintenance employees may accumulate up to 576 hours.  In order to receive payment for sick leave, you must notify your immediate supervisor or department head of the reason for your absence by the assigned starting time.  You must provide a doctor’s note for any absence in excess of 40 hours per year of unexcused absence, or for 3 or more days of consecutive absence.  Abuse of sick leave will result in disciplinary action.

  

ATTENDANCE BONUS

After you have been employed for one year, you will earn one day’s pay (at your regular rate) for any consecutive six-month period of no sick leave taken.  This period begins the first of the month following the month in which sick leave was taken.  Payment of the bonus will start a new six-month period.

Administrative staff and maintenance foremen who accumulate over 600 hours of sick time, may be paid $4.00 an hour for each hour over and up to 720 hours.  Maintenance employees who accumulate 480 hours of sick time, may be paid $4.00 an hour for each hour over and up to 576 hours.  This bonus will be paid at the end of the calendar year.  You may elect not to receive the bonus and retain the hours up to the maximum of 720 or 576 hours.  Payment is only for hours accumulated in a one-year period of time.

 

PERSONAL LEAVE

Once you have completed the 90-day introductory period, full time exempt employees receive 24 hours of personal leave per year to be used at their discretion, with prior approval from their supervisor.  Personal leave cannot be carried over from one year to the next.

 

GROUP INSURANCE PROGRAM

HAC offers to all full‑time, regular employees an excellent Health Care Plan that includes Hospitalization, Major Medical and Dental and Vision coverage.  You become eligible for this coverage on the first day of the month following 90 days employment.  Separate booklets and literature explaining our Health Care Plan in detail were issued to you when you were hired.

 

EDUCATIONAL ASSISTANCE

All regular full‑time employees of HAC are eligible to participate in the Educational Assistance program.  Any course of instruction related to your career with HAC or when being taken toward a degree which is related to our business is eligible for reimbursement.  Courses meeting these standards must be taken through accredited colleges, universities, correspondence schools or other institutions approved in advance by the Executive Director.  You must have one year of service with HAC to be eligible for this program.

HAC may set annual limits on expenses and number of employees eligible for this program to stay within budgeted expenses.  Tuition, books and lab fees will be reimbursed according to the schedule below, up to a maximum of $500 per semester or $350 per quarter, not to exceed $1000 per year.

Employees who successfully complete an approved course with a grade of C or better will be reimbursed at 100% of their costs subject to the limits outlined above.  Employees who complete the course with a grade of D or lower, or who fail to complete the course will not be eligible for reimbursement. 

You should request approval for all educational assistance prior to enrolling for the course.  Proof of grade and attendance report from the training establishment is normally required before reimbursement is granted.  Arrangements can be made to pay in advance in special situations.  Employees are expected to remain employed with HAC for at least two years after the completion of a degree program.  Employees who leave within two years will be required to repay educational assistance funds.
